Message to Saudi Arabian Students

We understand that you have received notification from the Kingdom of Saudi Arabia regarding the suspension of all training, scholarship, and scholarship programs in Canada. We also understand that you must leave Canada. Please know that the university community is very saddened by this news and you have the support of the university community at this time. We understand this is a stressful and uncertain situation for many of you. If you require any type of support please contact Western International at iesc@uwo.ca. We are monitoring this situation and will continue to communicate updates as information becomes available.

Some of you have been wondering about your current immigration status in Canada. We don’t currently have any indication of changes from the Canadian government, and therefore Saudi students are still welcome in Canada. We interpret this to mean that international students’ Canadian immigration documents are not affected by recent events. The decision to leave Canada rests with you, your family and the government of Saudi Arabia.

Some of you have also been wondering about your status at Western University. We would like to assure you that you are welcome at Western University, and that the recent events have not affected your status here. Your status in your program, your registration and other factors in your relationship with Western University do not change unless you initiate a change. We ask that you all speak with your academic advisor. Graduate students are asked to speak directly with their graduate chair and thesis supervisor before their departure.

Preparing for Your Departure

In the meantime, we have created a checklist (below) for you about important next steps as you prepare for your departure. The checklist is intended to help ease your transition but please contact Western International, the Office of the Registrar, the School of Graduate and Postdoctoral Studies, or your department if you have specific questions or concerns.

Leaving Western University

  • Meet with your faculty regarding your change of registration status.
  • If you are finishing your degree by August 31, 2018:
    • You can request that your diploma is printed early using the Early Release of Degree Form (rather than wait until October). NOTE: your degree will officially be awarded in October and this will appear on the diploma, but you can obtain your diploma early.
    • You should indicate on the Early Release of Degree Form that you are a Saudi student and Student Records will verify this. You do not need to provide payment information if you are requesting to pick up your degree in person. If no payment information is included, you can send in the form by email to leeann.mckivor@uwo.ca, it can be faxed to 519-661-3388, or you can bring it in person to Student Records, WSSB Room #2140. Student Records will do their best to generate your degree as quickly as possible; however, the process may take up to one week. If you want your diploma to be sent via courier, please follow the Diploma Mailing instructions (Payment information should be included for the courier fees)
  • Request an official Western transcript from the Office of the Registrar (transcript ordering fees will be waived). You can either request your transcript in person at Student Central or by using the Transcript Request Form. You should not use the online ordering system.
    • If requesting in person, you should identify yourself as a Saudi student and the Registrar’s Office will verify this.
    • If requesting using the form, you should indicate on the form that you are a Saudi student and the Registrar’s Office will verify this.
    • You do not need to provide payment information if you are requesting to have the transcript sent via regular mail. If no payment information is included, the form can be sent via email to contact@uwo.ca. If you want the transcript to be sent via courier or fax, then payment information should be included for the courier/fax fees. The form can be faxed to 519-850-2397..
  • Request an Official Western Letter.You should not use the online ordering system.
    • If requesting in person, you should identify yourself as a Saudi student and the Registrar’s Office will verify this.
    • If requesting using the form, you should indicate on the form that you are a Saudi student and the Registrar’s Office will verify this.
    • You do not need to provide payment information if you are requesting to have the letter sent via regular mail. If no payment information is included, the form can be sent via email to contact@uwo.ca. If you want the transcript to be sent via courier or fax, then payment information should be included for the courier/fax fees. The form can be faxed to 519-850-2397.
  • If intending to transfer credits, you may obtain course descriptions online through archived University Calendars, or course syllabi on Student Center. Learn how to obtain an official course description.
    • Graduate students may want to request a letter from their academic program or supervisor with a summary of their program work and/or research.
  • Update your contact information on your Student Center account and your Human Resources account (if applicable) to reflect your forwarding address.
  • Reconcile any fees owing on your Student Center account so that there are no issues with transferring credits.
  • Return books to the library.
  • If you are a graduate student, return office keys to the Keys Office located in Room #2380 of the Support Services Building.
  • Return your parking pass to Parking and Visitor Services in the Support Services Building, Room #4150 (if applicable).

Leaving Canada

  • Arrange travel.
  • Give notice to your landlord as per your lease or rental agreement. If you have questions or concerns, contact Glenn Mathews (glenn@housing.uwo.ca) at the Off-Campus Housing Office at Ontario Hall, Room #3C1.
  • Request an apartment inspection with your landlord to obtain your damage deposit.
  • Cancel utilities and services (London Hydro, Union Gas, cell phone, internet, tv, etc.) for bills in your name.
  • Close or transfer bank accounts.
  • Notify your employer of the current situation, if applicable.
  • Cancel any insurance plans (renter’s insurance, car insurance, etc.) in your name.
  • Arrange for mail forwarding services through Canada Post.
  • Sell/donate furniture, car and belongings you do not wish to take with you
    • If you are looking to donate items, SOGS is currently accepting donations of small household items (kitchen utensils, gently used linens, dishes, pots and pans, lamps, small appliances, etc.) for graduate students. Items can be dropped off at Middlesex College, Room #8.
  • If you have questions about your Canadian immigration status, attend one of our Immigration Drop-In Hours or email one of our immigration advisors, iesc@uwo.ca
  • If you require legal advice, Community Legal Services offers free legal advice to all Western students in some areas of law such as landlord and tenant law, employment law, human rights, mediation, etc.
  • If you require a renewal of prescriptions or want to have your medical file transferred, book an appointment with your family doctor or Student Health Services before you travel
  • Withdraw your children from their school/daycare or any activities they may be involved in (if applicable).

Note: Please identify yourself as a student from the Kingdom of Saudi Arabia for any services at Western which are listed in the checklists above. Special supports, have been put in place at these services for you, including the possibility of having some fees waived.
